Traceability & Documentation is a core component of a sustainable agarwood production system, ensuring that every tree, treatment, harvest, processing batch, and finished product can be tracked from plantation to final customer.

1. Tree-Level Traceability

Each Aquilaria tree receives a unique identification record.

  • Tree ID / QR code
  • Species and planting material
  • Nursery batch
  • Planting date
  • Farm/block/plot location
  • GPS coordinates
  • Tree age and measurements
  • Health and growth history
  • Ownership or grower information

2. Treatment & Induction Records

For each treated tree, document the complete induction history.

3. Harvest Documentation

Every harvest should maintain a documented chain of custody.

Tree → Harvest Lot → Raw Agarwood → Processing Batch

Records should include:

  • Harvest date
  • Tree ID
  • Harvest weight
  • Fresh/dry weight
  • Agarwood grade
  • Resin characteristics
  • Wood/chip classification
  • Harvest team
  • Farm location
  • Photos
  • Transport documentation
  • Storage location

4. Processing Traceability

Processing records connect raw agarwood to finished products.

Raw Material Lot → Extraction/Processing Batch → Finished Product Lot

Document:

  • Raw-material lot number
  • Incoming weight
  • Processing date
  • Processing method
  • Equipment used
  • Processing parameters
  • Yield
  • Intermediate-product batch
  • Finished-product batch
  • QC results
  • Packaging date
  • Quantity produced

5. Quality-Control Documentation

A traceability system should preserve the analytical history of each batch.

Possible records include:

  • Moisture content
  • Physical inspection
  • Resin characteristics
  • Chemical profile
  • Chromone/sesquiterpene profile where applicable
  • Microbiological testing where applicable
  • Contaminant testing
  • Stability testing
  • Certificate of Analysis (COA)
  • QC approval/rejection status

6. Finished-Product Traceability

Every commercial product should have a unique lot/batch number.

Example:

CAG–AQM–2026–09–001

Where:

  • CAG = Crown Agarwood Group
  • AQM = Aquilaria material
  • 2026 = production year
  • 09 = production month
  • 001 = sequential batch

A QR code can link the batch to its approved traceability record.

7. Digital Traceability Platform

8. Documentation Hierarchy

A robust system should maintain five levels of documentation:

Farm maps, tree inventory, planting records and maintenance logs

Level 3 — Production Records
Induction, harvesting, processing and storage records

Level 4 — Quality Records
Testing, QC inspections, COAs and release records

Level 5 — Commercial Records
Packaging, inventory, sales, shipping and customer traceability

9. Chain-of-Custody Principle

The fundamental principle is:

Every kilogram of agarwood should be traceable backward to its source and forward to its final destination.

This provides the foundation for legal sourcing, sustainability verification, quality assurance, inventory control, export documentation, and customer transparency.
